DISTINGUISHING FEATURES OF THE CLASS

The work involves responsibility for supporting and leading the department which handles the registration, enrollment, school transfer, school choice and school assignment of over 17,000 students in grades kindergarten through 12 yearly. An employee in this class is responsible for coordinating all aspects of the registration and assignment process, including leading contact with families regarding registration issues, maintaining the enrollment timeline and planning and coordinating community-based initiatives to increase enrollment. Work is performed under the general supervision of the Director of Student Registration. Supervision may be exercised over a small number of professional, paraprofessional and clerical employees. Does related work as required.

 

TYPICAL WORK ACTIVITIES

Coordinates all aspects of the student registration, enrollment and assignment process in accordance with state, federal and local contractual obligations.

Serves as a frontline ambassador ensuring that effective communication results in smooth, respectful and affirming experience during the registration, transfer and school choice process for all families.

Works closely with the administrative team to support and supervise the registration clerical staff to process all incoming applications while implementing all procedural changes to the registration process.

Assists in maintaining, implementing and revising the tasks and procedures associated with processing a registration application and the documentation required for each child to enroll in school.

Plans and coordinates initiatives to improve accessibility and increase enrollment and participation in family engagement opportunities throughout the community.

Collaborates in the development and implementation of training for all clerical staff and maintains regular communication with the district to ensure all staff receive timely and accurate notifications of changes.

Acts as a liaison by communicating with administrative and clerical staff in the district offices and school buildings regarding new, existing or revised registration, transfer, withdrawl or school choice processes and procedures.

 

FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS

Thorough knowledge of interdepartmental proceedings regarding student registration, placement, enrollment, transfers, school choice and withdrawls.

Good knowledge of office operations including but not limited to School Tool, Right Reason (enrollment portal), Microsoft Suite, building training tools and such procedural guideline sheets and training videos, phone transfer procedures, setting up Teams meetings, and managing administrative tasks.

Ability to prepare detailed and complex correspondance for the purpose of explaining and supporting decisions and recommendations from the Director, such as data reports, memos, procedural updates and interdepartmental communications.

Good knowledge of the New York State educational system and relevant resources.

Good knowledge of de-escalation and conflict management techniques.

Ability to work easily with others and anticipate the needs of families and the department such as clerical staff, nurses and nationality workers.

Ability to communicate effectively, both orally and in writing.

Ability to supervise a small number of professional, paraprofessional and clerical employees.

Ability to analyze information gathered for the purpose of making recommendations and decisions.

Ability to work with students and families from culturally diverse backgrounds.

 

MINIMUM QUALIFICATIONS

Promotion: 

Six (6) years of permanent competitive class status in the title of Office Assistant II.

Open Competitive

A. Graduation from a regionally accredited college or university with a Bachelor's degree and two (2) years of full-time professional level administrative work experience in an office setting; or,

B. Graduation from a regionally accredited college or university with an Associate's degree and four (4) years of full-time professional level administrative work experience in an office setting.
