DISTINGUISHING FEATURES OF THE CLASS

The work involves responsibility for arranging business travel for employees, identifying the most cost-effective and efficient travel arrangements and making necessary reservations for accommodations.  Work is performed under the general supervision of the 1st Deputy Commissioner of Finance.  Supervision is not typically a function of this class.  Does related work as required.

TYPICAL WORK ACTIVITIES

Researches and compares available travel and hotel accommodations to identify the best available option for each travel need.

Obtains approval from leadership for travel requests and expenses that exceed established limits.

Makes all arrangements and reservations as requested for requests that are within approved travel reasons and budget limits.

Prepares travel itineraries and distributes travel arrangements and schedules to all appropriate staff.

Coordinates with travelers and vendors to resolve issues that arise during travel.

Advises travelers of and assists with any need for specialized travel documents, such as visas and passports.

Manages credit card accounts for multiple departments.

Monitors and facilitates the use of company air travel credit cards, frequent flyer programs and other applicable rewards and loyalty programs.

Processes reimbursements for travel expenses.

FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS       

Good knowledge of best travel practices, corporate travel policies and cost-effective solutions.

Good knowledge of organizational skills and practices.

Good knowledge of time management practices.

Good knowledge of travel arrangements and ERP systems.

Proficiency in the use of a personal computer and various software packages, including Microsoft Office Suite and related software.

Ability to manage and coordinate business travel logistics.

Ability to communicate effectively, both orally and in writing.

Ability to work with minimal supervision.

            

MINIMUM QUALIFICATIONS

Open Competitive:

  1. Graduation from a regionally accredited college or university with a Bachelor’s degree in  business administration, business management, hospitality management, travel and tourism or a closely related field and two (2) years of work experience, or its part-time equivalent, in corporate or municipal travel coordination, including booking travel utilizing travel booking systems, and approval and processing of reimbursements per established travel policies; or,
  2. Graduation from a regionally accredit college or university with an Associate’s degree in business administration, business management, hospitality management, travel and tourism or a closely related field and four (4) years of experience, or its part-time equivalent, in corporate or municipal travel coordination, including booking travel utilizing travel booking systems, and approval and processing of reimbursements per established travel policies.
