DISTINGUISHING FEATURES OF THE CLASS

The work involves responsibility for performing reception duties as well as various clerical tasks that support and assist all levels of staff in completion of job responsibilities and service to the clients. Under general supervision, performs detailed clerical work. Incumbents may be required to complete payment transactions and keep basic recordkeeping. Work is usually reviewed upon completion for achievement of desired result. Does related work as required.

TYPICAL WORK ACTIVITIES

Provide excellent customer service covering one or multiple reception areas, duties include but not limited to; answering multiple line phone system and transferring calls, greet jobseekers in a professional manner, notify staff when a client appointment arrives, assist with copying and/or collecting of paperwork from jobseekers, collecting incoming faxes and enter onto daily fax report logs, distribute paperwork into the employee mailboxes, check the voice mail messages left on the general mail extension.

Enter attendance of all participating jobseekers by the 10th of each month on the New York State Welfare to Work Case Management System (WTWCMS) and enter enrollments.

Issue bus passes as needed for jobseekers. Accurately enter payment data into the State’s Welfare Management System (WMS) by using the jobseeker’s case number, CIN number and Social Security Number.

Scan letters and other documents into Onsite Scanning System (OSS) and index by individual CIN number into the State’s IEDR –Individual Document Retrieval System.

Employment Aides are responsible for entering and producing childcare based on the jobseeker’s activities, as well as maintaining communication with childcare providers.  Responsible for working with Child Care Solutions and other Social Service Departments to ensure that all providers are enrolled in the various childcare information systems.

Perform data entry, type documents including resumes, process various correspondence, produce and disburse medical and treatment requests as needed.        

Assist staff with scheduling appointments, workshops, presentations and orientations.

Utilize multiple computer systems including WTWCMS, JOBSplus! Database, Microsoft Office, WMS, Outlook and VenTek.

Maintain confidentiality while speaking with jobseekers and performing assigned duties.

Maintain an organized and clean reception and waiting area.

Monitor and track Case Management system units.

Responsible for data entry code changes and tasking duties.

Produce and post reports.

Process support service payments.

 

FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS

Good knowledge of general office terminology, procedures, equipment and clerical techniques.

Good knowledge of business English, spelling and arithmetic.

Ability to communicate effectively and appropriately in oral and written format.

Demonstrated ability to work as a team player in a fast-paced environment

Ability to use common office equipment including equipment having alpha- numeric keyboards, photocopiers and personal computers.

Ability to establish effective working relationships with co-workers, superiors and the public.

MINIMUM QUALIFICATIONS

Open-Competitive:

Two (2) years of clerical work experience which involved the performance of routine office tasks, such as keeping of records and accounts, correspondence, recording/entering (keying) and retrieving data and/or information, in accordance with prescribed procedures.

 

NOTE:  Post secondary education in a regionally accredited or New York State registered educational institution with a concentration in business administration or a closely related field may be substituted for the above described experience on a year-for-year basis.
