DISTINGUISHING FEATURES OF THE CLASS

 

The work involves responsibility for performing difficult and responsible

stenographics, typing and clerical tasks. An employee is this class is

responsible for the performance of the more difficult and complex tasks to relieve

a department or division head of administrative detail. Work is performed in

accordance with general instructions received from an administrative superior,

with considerable leeway permitted for the exercise of independent judgment.

Supervision may be exercised over the work of a number of clerical subordinates.

Does related work as required.

 

TYPICAL WORK ACTIVITIES

 

Acts as personal and confidential secretary to a division or department head.

Independently composes and types routine correspondence, applying a knowledge

of departmental regulations and operations.

Uses a manual or electric typewriter, or any type of computerized equipment with a word processing function to transcribe dictation notes and to type documents from rough or corrected copy.

Supervises a staff or clerical and stenographic employees engaged in performing routine duties, keeping various clerical records and typing reports

related to departmental operations.

Takes and transcribes dictation of letters, articles, memoranda and other

materials.

Screens telephone calls, correspondence and personal callers to relieve an

administrative official of routine interruptions.

Coordinates and arranges appointment schedules and reservations for an

administrative official.

Plans and assigns clerical work to a number of subordinate employees.

Edits scientific, medical and technical material.

Takes and transcribes minutes of conferences, meetings and hearings.

Contacts other public agencies, officials and private firms to obtain and

supply information and material.

Compiles and types various monthly and annual statistical reports.

Operates addressograph, mimeograph, computing, calculating and other office

machines.

Supervises clerical staff in handling, filing and indexing of correspondence

reports and related material.

Cuts stencils and types master ditto machine copies for difficult or confidential reports and information.

Requisitions and maintains a stock level of office supplies and keeps related records.

Acts as receptionist, giving out routine information on policy and procedure and referring telephone calls to appropriate officials.

Prepares, maintains and files various department of division policy and

procedure manuals and related records.

Prepares correspondence and reports as required.

Ability to take and transcribe dictation at a satisfactory rate of speed.

Ability to type accurately at a satisfactory rate of speed.

Ability to learn how to operate a variety of typing equipment, including automated typing systems, word processors, micro-computers and word processing software.

MINIMUM QUALIFICATIONS

 

Promotion: Two (2) years of permanent competitive class status in the title of Stenographer II.

 

Open Competitive: Four (4) years of full time clerical experience including the taking of dictation in shorthand and transcribing that dictation on a typewriter.

 

NOTE: Post secondary education in a regionally accredited or New York State registered educational institution with a concentration in secretarial science may be substituted for the above experience on a year for year basis up to two (2) years.
